Departments

 

The Departments are used as subsidiary G/L accounts and help keep track of receivables and payables, by port. They are defined as a three digit company number in the CMS Upon creation of a new port of call, new departments have to be created for that port, before posting any Bills of lading that may have been entered for the new port. To be able to use the departments in Accounts payable or accounts receivable, the account has to have a specific setup in the chart of accounts. Subsidiaries and job required fields have to be ‘Y’.

A screen like the following one will appear when using an account with subsidiaries in the detail of an invoice or in a journal entry. The ports, the job number and the concept information have to be entered. Then the program will assign the correspondent department and the user may change it if needed.

 

 

Fields like the ports and the voyage have an additional list that can be accessed by double clicking the mouse on the field or by right-clicking the mouse and selecting the respective list. Select the desired one from the list.
