How to create a new booking

 

To create a new booking, start filling out all the fields explained in the booking description.  Date, Time and Booked by will automatically be assigned by the system with the current date and time and the user logged in. Each field may be modified if needed.

Some of the fields have additional features, which can be gotten by right-clicking on the mouse and selecting the desired option. It is the case of the Shipper, Forwarder, Consignee and Notify. Additional descriptions to the address or appends can be added to these fields. Once all the information in the header is filled in, the program will assign the next available number.

 

In the detail screen enter the equipment quantity that is being reserved, next enter the equipment type, the drop-down list will help you find the desired equipment type. Hitting <Enter> in the Date field will default to the current date, or (if applicable) you may enter the date the container is to be spotted. Then in the next field it assigns the current time, but it can be changed if needed. The next field, Movm is used to indicate the movement type (i.e. ‘H/H’ House to House, ‘H/P’ House to Pier, ‘P/P’ Pier to Pier or ‘P/H’ Pier to House).

 

The Spotting Instructions field is used to indicate cargo description and spotting instructions. It can also be used to record any special information noted by the person making the booking. This field is free-hand and you may use as many lines as needed. Additionally, if you want to add an address for a spotting location (which should exist in the CMS), type / s, /f, /c, /n or /o and hit enter all the way, the system will assign, shipper, Forwarder, Consignee, notify or the screen to assign other party, respectively.

The last field is the Dangerous cargo field. From the moment cargo is being reserved the users can tell the program, whether the cargo is dangerous cargo or not. The dangerous cargo may be edited or deleted by right-clicking on the line item and selecting the View Hazardous Cargo option.

 

All these options have a drop-down list to select from. A booking related information may be viewed from a line item.

You can also add notes pertaining to a specific booking number and set them as a reminder that will notify you through Outlook. They will print out on the form and the booking itself will display a note message on the top right hand side.
