How to Create a Dock Receipt

 

 

To create a Dock Receipt, select the corresponding warehouse. The number can manually be assigned or the computer will assign it for you, this depends on the setup that you have for the warehouse

Then the date and time will default to the current ones, they may be changed if needed. The next field is the booking number, which may be left blank, otherwise, it will populate all the information in the rest of the receipt, with job number, ports the Shipper/Forwarder/Consignee/Notify information from booking.

If you do not have a booking number, job number, ports  and Shipper/Forwarder/Consignee/Notify need to be entered. In either case, the Trucking information needs to be populated afterwards, including the inland freight receipt and amount if applicable.

After the D/R header is populated completely the number will be assigned number gets assigned, if you have automatic numbering,

 

Then, you will be prompted to the dock receipt detail, which is made up of 9 sections, as follows:

 

  1. Cargo Detail: It has a section for marks and numbers, the quantity with the units (drop-down list) and the dimensions. If you are using a booking with multiple line items, it will bring forth an additional window with the list of items to select from.

As you enter the line items, you will see the information at the bottom of the screen, such as packages received, staged, remaining, manifested, reference, status (authorized, not authorized) and warehouse location. At the very bottom, it has an icons bar, to view additional information about a line item (equivalent to right-clicking on the mouse and getting additional properties)

Dangerous cargo can be also captured at the D/R level.

If you need to make any corrections to the dimensions, just right-click on the line item and select the dimensions option, or click on the corresponding button in the lower toolbar.

  1. Comments; to add comments to your receipt, you can type them or select them from the Comment window by hitting Enter or double-clicking on them.
  2. Bill of ladings shows B/l’s in which your dock receipt has been manifested. *
  3. Containers, shows the list of containers/stuffings into which the cargo has been stuffed*
  4. Delivery Receipts, delivery receipt related to the dock receipt (if any)*
  5. Invoices; this is the section that contains the invoices with the cargo value and bank drafts (if any). Assign the invoice number, the pieces and the amount. This amount will be populated right next to the booking number field
  6. Reference: This field is customer specific. It is a different type of reference then the one that it is used to identify shipments. Customers who scan the commodities use it.
  7. Pictures to attach pictures from the cargo. To add the picture(s), click on the Add button and search for the directory and click on it. You will see the file listed. To open it jus double-click on it or hit Enter.

 

  1. Video to attach a video if desired. This option works in the same way that the previous one
